Adobe Acrobat is currently the standard of the planet for creating image files that can be shared with others, for archive and reference, for web and for print.
In addition to simply viewing an image, there are a multitude of options that organizations find of value, ranging from restricting modifications, to editing and annotating pdf documents, combining multiple documents, dirculating documents for comments, digital signatures, and converting pdf documents to Microsoft Office documents.
Utilizing these options is not intuitive, and if individuals will use options in their work, you gain immediate return on investment by training when they first need to work with pdf files(ask anyone who has tried to add or tweak content in an existing pdf).
Beyond the “image” uses, Acrobat has the capability to be used for forms. In the creation and use of forms, the complexity increases substantially.
Acrobat Forms are used when your organization wishes to produce forms with a high visual impact quality, forms that present the content or the organization in a positive visual appearance.
A step further is Acrobat LiveCycle Designer, a companion tool included with Acrobat to produce forms where the goal is to collect the responses in a database for use an analysis. This tool uses XML, which expands the subject matter substantially.
XML forms can be used to provide large volumes of form content to your organization’s corporate applicatons without manual data entry, which is time-consuming and costly.
The final step in this is the potential use of Adobe’s Livecycle product in the Enterprise, which is a large scale tool for acquiring and managing information throught the lifecycle of the information, and making that information available to corporate applications.
New in the mix is the Adobe Acrobat cloud version, where you pay a monthly fee for the right to use the software, have the option to store your work in the “cloud”, instead of or in addition to your desktop computer. To encourage the use of this cloud based model, Adobe has made available additional functionality they are calling “Forms Central” and are expanding their cloud offering under the name Adobe Document Solutions.
The appeal of this tool will vary, dependent upon the organization’s current policies regarding storing corporate information outside of the organizations secured storage areas.
